Navigating Facility Management Efficiency: An Overview of CMMS & CAFM Systems
Computerized Maintenance Management Systems (CMMS) & Computer-Aided Facility Management (CAFM) are integral tools in modern facilities management, revolutionizing the way organizations oversee maintenance & operations. CMMS streamlines maintenance processes, allowing for efficient scheduling, tracking, & management of assets, while CAFM provides comprehensive facility management solutions, including space planning, resource allocation, & real-time monitoring.
According to the latest statistics, the global CMMS market is projected to reach $1.2 billion by 2027, driven by the increasing adoption of cloud-based solutions & the need for cost-effective asset maintenance strategies. Similarly, the CAFM market is expected to grow at a CAGR of over 12% during the forecast period, fuelled by advancements in IoT technology & the demand for smarter, data-driven facility management solutions.
As facilities continue to evolve, CMMS & CAFM systems remain essential for optimizing operations & enhancing organizational productivity. We recently spoke to one of our expert consultants, Kevin Young, who’s highlighted some pivotal benefits of having CMMS & CAFM that’ll empower organisations to optimize their operations, improve efficiency, & ultimately save time & money.
We asked him these questions and here's what he had to say ;
1. Why does this matter?
"Non-compliance with regulatory requirements can have various repercussions, including fines, penalties, damage to reputation, & enforced shutdowns, resulting in lost production, uptime, & revenue loss."
2. What problems does not having them in place create?
"In terms of compliance, it can make the workplace a hazardous place where past failures are not tracked, & incidents are not recorded, resulting in unpredictable surroundings. It’s important to know that assets such as PSVs are tested & certified independently, & that lifting equipment isn’t going to fail. Compliance doesn’t automatically mean accidents don’t happen, but it certainly reduces that risk, which should always be ALARP (as low as reasonably practicable). Complying is a good starting point."
3. How does this make the parties involved feel angry or frustrated?
"Yes, & also worried. Non-compliance makes people very anxious. Even struggling to show compliance is worrying. Having a system that makes it easy to demonstrate is helpful."
4. What difference can we (myfm) make, & how will we do this?
"We can improve systems, processes, & reporting, implement new maintenance strategies, & carry out criticality assessments to focus maintenance work in the areas most needed. Having better information & data will help justify future investments & budgets."
5. What will this look & feel like?
"We can provide new asset lists, criticality & asset life assessments, diagrams, & tables to show & justify a particular maintenance schedule & strategy. Minor practical changes such as introducing job planning naming conventions such as PMA for assurance activities & PM for non-assurance give immediate visibility for compliance work orders & make monitoring, reporting, & demonstrating compliance easier to prove to auditors. Do not combine regular PM activities with compliance or assurance activities, as this makes any reporting difficult."
6. What would the benefits be on a practical daily basis after implementation? Why should the client care?
"After implementation, improved planning with PMA compliance activities is prioritized, & then regular PM tasks are added to the work schedule based on pre-defined priorities.
I think clients should care because it empowers them to optimize their operations, improve efficiency, & ultimately, save time & money. There’s a level of comfort knowing that they’re in legal compliance, staff & contractors are working in a safe environment, & this information can be readily extracted & demonstrated from CMMS/CAFM providers as a simple report."
Bottomline:
We can’t emphasise enough that in today’s competitive landscape, CMMS is not just a convenience but a strategic necessity for organizations looking to stay ahead & thrive in the FM industry. Implementing a CMMS brings numerous practical benefits to daily operations.
From enabling organisations to streamline maintenance workflows & reduce downtime to scheduling maintenance tasks & automation alerts for preventive maintenance, CMMS helps prevent costly breakdowns & extends the lifespan of equipment.
